How-to guide
How to make multiple scanned PDFs searchable
OCR adds a text layer to a scanned page. The page image remains visible while names, reference codes, and dates become searchable.
Searchable PDF versus conversion
A searchable PDF keeps the page image and adds hidden text. Converting to Word or Excel attempts to rebuild the content into editable elements. If archive search is the goal, searchable PDF is usually the safer starting point.
Check the result
- Search for a reference code containing letters and numbers.
- Search for a date and a quantity.
- Copy a paragraph and compare it with the visible page.
- Check that text selection follows the correct line.
- Review tables, blur, skew, and mixed-language pages separately.
- Confirm that filenames and folder structure remain usable after batch processing.
Privacy choice
Online tools can be convenient for public or disposable documents. For confidential business records, evaluate a desktop workflow and verify whether processing stays local. Do not infer privacy from the word “desktop” alone.
When searchable PDF is not enough: If the next step requires clean spreadsheet rows, validated invoice fields, or an automated review queue, compare document AI tools separately. OCR makes text machine-readable; it does not guarantee reliable business data.
